    Cancellation policy

    • Requests for cancellations must be received by email to congress@univie.ac.at
    • Refunds will need at least 4 weeks to be processed
    • Until April 30, 2018 - Registration refund minus a 30 € processing fee
    • May 1 - June 30, 2018 - 50% Refund
    • After July 1, 2018 - No refund


    Abstract Submission

    • Abstract submission for oral contribution is closed since February 28, 2018
    • Poster abstracts can be submitted until May 31, 2018, 24:00 CET

    • The abstract must not exceed 2000 characters including spaces (text only)
    • Link to abstract submission will be sent by e-mail after successful registration (registration confirmation e-mail)

    Abstracts will be evaluated and the decision for oral talks will be made by the SOCs until end of April. The finalized programme will be announced in May, 2018. Poster abstracts will be accepted in almost any case.

    Posters

    • Posters will be exhibited at least during the meeting days.
    • Posters for Division Days are exposed during the Division Days only.
    • The poster format is DIN A0 (portrait): 841 x 1189 mm or 33.1 x 46.8 in
    • Electronic posters will be possible. More information will be announced here asap.

    Proceedings

    • One e-proceeding is included in the registration fee.
    • Proceedings will only be available for Symposia and a collected volume of Focus Meetings.
    • Additional e-proceedings can be ordered for EUR 10.00 each.
    • Printed volumes can be ordered for EUR 60.00 each.


    Letter of Invitation and Visa

    For many people, letters of invitation help smooth the visa process and we wish to support international attendees in their efforts to secure the needed travel documentation.
    The letter of invitation does not financially obligate the conference organizers in any way. All expenses incurred in relation to the meeting are the sole responsibility of the attendee. Please note that we cannot guarantee that you will receive a visa. The decision to grant visas is at the sole discretion of the embassy/consulate. The meeting organizers cannot change the decision of the governmental agency should your application be denied.
    We can send letters of invitation via express mail services on your costs. To obtain a letter of invitation you must first register for the meeting and pay any registration fees in full (in case you request an IAU Grant, you don't have to pay their registration fee immediately). No letters will be issued without a paid conference registration. To request a letter of invitation in order to attend the meeting, please email (indicate "invitation letter" in subject line) to the Eventmanagement of the University of Vienna at congress@univie.ac.at

    It is VERY important that registrants needing visas apply early enough to complete the visa application process. We recommend that travelers apply as soon as they possibly can after affirming their ability to attend the conference.


    Insurance 

    • All participants are responsible for their own travel insurance.
    • At the conference venue, participants have accident insurance during the whole time of the GA.


    Child Care

      is provided free of charge by the conference venue from 08:30 - 18:15 for all children (up to 12 years). During the registration, the participant is asked for the name, age, gender, the language of his/her child, and days for which child care is needed. Children will get an official IAU conference badge at the registration desk.

      If your IAU travel grant has been declined, you do not need to register again. To pay your registration fee or to change your registration, please use the links in your confirmation e-mail. For any questions, please contact congress@univie.ac.at.
