Presenter Information

All presenters have been informed by the SOC chairs of their dedicated meeting about acceptance and type of each contribution. The list of Symposia, Focus Meetings, and Division Days with their individual programmes and speaker schedules can be found at the programme web site here.

Oral Presentation Guidelines

In order to save time and to avoid inconsistencies of presentation software, speakers are not allowed to use their own laptop, but it is mandatory to upload presentations in the rehearsal rooms of the conference venue to the central system at least half a day before the scheduled talk.

All various internationally used standard formats for presentations are supported (NOT keynote!).

Since the shape of the projectors and screens is 16:9, we recommend the authors to fit their presentations accordigly.

For speakers of the morning sessions on Monday, August 20, 2018, the upload and test of the presentation must already happen on Sunday, August 19, 2018 after having registered. For Monday, August 27, presentation upload must be completed on Friday , August 24, until 18:00 o'clock or earlier.

The rehearsal room 2.17 is located on level 2 and opened

• on Sunday, Aug. 19th, 3:00-5:00 p.m.,
• Monday, Aug. 20th, to Friday, 24th, at 8:00 - 18:00,
• Monday, Aug. 27th, to Thursday, Aug. 30th, at 8:00 - 18:00,
• and on Friday, Aug. 31st, 8:00 - 13:00. 

Support for the upload will be given by technical assistants in the rehearsal rooms. Assist will also be provided in each lecture room by technical personnel.

Presenters will be equipped with headsets.

Presenters are asked to leave sufficient time for discussions of their presentations.

Poster Display

• The poster will be displayed in the nearest Foyer to the lecture hall where your meeting takes place. The identification letter of the lecture hall and the Foyer are identical.
• Posters will be on display exhibited during the meeting period only and must be dismantled at its end.
• Poster presentations and viewing are individually organized by the meeting chairs.
• Poster authors are also asked to stand by their posters during the 2 common poster-viewing slots on Tuesday, Aug. 21st, and on Thusday, Aug. 30th, 15:15 to 16:15 o'clock
• The poster format is DIN A0 (portrait), 841 x 1189 mm or 33.1 x 46.8 in, at maximum.
• Material to attach posters to the poster walls will be provided.

E-Posters Guidelines

As an alternative to printed posters we offer the electronic poster display system PICO. The following rules are given for e-posters:

• Registration for e-posters IS CLOSED.
• E-posters cannot be chosen in addtion to printed posters.
• E-posters will be available for the whole 2 weeks of the GA and can be displayed on each of the 10 PICO screens distributed over the conference venue.
• An e-poster should be landscape-fomatted and can be displayed interactively on PICO touch screens with a diagonal of 43'', a 16:9 ratio and a maximum resolution of 1920x1080 px.
• They can comprise at maximum 4-5 pages in total which can be linked over 2 levels and with videos and animations.
• The PICO system can display all various internationally used standard formats for presentations.
• For e-posters the same upload rules apply as given above for oral presentations (rehearsal rooms 2.17 on level 2) are valid.

Official Language

The official language of the General Assembly 2018 is English. Simultaneous interpretation is not provided. It is therefore expected that authors are able to present their research more or less fluently in the English language.

Insurance

The organizers cannot accept liability for personal accident, loss, or damage to private property, which may be incurred as a result of the participation in the XXX General Assembly 2018 of the IAU. Participants are, therefore, advised to arrange appropriate insurance cover. This should extend not only to travel but also to cancellation costs.
